Event Check-In: How to Check In Hundreds of Attendees Without Queues

The registration desk is where events lose their first half hour. Here is how to let attendees check themselves in, all at once.

Every event organizer knows the scene: doors open, a queue forms at the registration desk, staff search lists for names and the opening session starts late. The fix is not more staff. It is letting attendees check themselves in, all at the same time, on their own phones.

Why the desk is the bottleneck

A staffed desk processes one person at a time, at the speed of finding a name. Self check-in turns that around: each attendee scans a code on a screen and checks in on their own phone in a few seconds, so hundreds of people can check in at once. Staff are freed to help people with problems.

Set up the entrance

  • Put the check-in code on one or more screens at each entrance. Every screen shows the same code.
  • Add a short sign: “Scan with your camera, enter your code”.
  • Send attendees their personal code by email before the event, with the same instructions.
  • Keep one staff member with a tablet for people without a phone or who forgot their code.

Watch the count live

The screen and the dashboard show how many people have checked in out of how many registered. That tells you when to start, how many seats to open and whether a session needs a bigger room.

Breakouts and workshops

Create a session for each breakout. Attendees check in to each one, and the event report shows who went where, which helps you plan next year’s programme and gives sponsors accurate numbers. Turn on check-out for accredited sessions where time spent counts. Tracking attendance and time spent.

People without phones, and other exceptions

A few attendees will have a flat battery, no data or no smartphone. Keep a staffed point where a team member can search the list and check them in; the attendance record shows who did it. Attendees who forgot their personal code can request it again by email from the check-in page.

Walk-ins and late registrations

Decide before the doors open how you will handle people who are not on the list. Adding them through registration keeps the list clean; letting staff type names on the day is how invented attendees creep in.

Checklist for the day

  • Test the entrance screens and the venue Wi-Fi the day before.
  • Open attendance 30 minutes before doors open.
  • Print a small sign with the instructions next to each screen.
  • Brief staff on helping people without phones.
  • Close each session at the end so its sheet locks.

After the event

Download attendance by session and for the whole event, issue certificates of attendance to people who met your requirement, and export the data for your CRM. Certificates of attendance.
