How-to guides
Short, step-by-step instructions for everything you do in QRtimer, from your first event to certificates and integrity checks.
Getting started
Quick start: take your first QR attendance in 10 minutes
Create an event, add participants, open a session and show the rotating QR code. The shortest path from sign-up to a locked attendance sheet.
Create an event and choose its check-in rules
Set up an event in QRtimer: dates, how participants identify themselves, one phone per person, door check-in, location check and certificates.
Participants and registration
Import or paste your participant list
Add hundreds of participants at once by pasting rows from Excel or Google Sheets, or by uploading an .xlsx or CSV file. Columns are recognised automatically.
Add, edit or deactivate a participant
Register one participant by hand, correct their details or code, and mark people inactive without losing their attendance history.
Send participants their check-in codes
Email codes to everyone, send them by WhatsApp or SMS, or print code cards for people without email.
Invite people to register with personal links
Have only email addresses? Send each person a private, single-use link so they fill in their own name, phone and details.
Share a registration link and approve sign-ups
Let people sign up for your event through one link or a printed QR poster, then approve, waitlist or decline each sign-up before they can check in.
Approve verified sign-ups automatically
Approve sign-ups automatically once people confirm their email, for everyone or only for the emails and company domains you list.
Sessions and check-in
Create a session and choose who it is for
Add a session with its own attendance sheet, set the check-in window, assign a facilitator and run it for everyone or one group.
Open a session and show the QR code
Open attendance, put the rotating QR code on a projector or TV, follow arrivals live and close the sheet.
How participants check in (guide to share)
A short explanation to send to participants: scan the code on screen with your own phone, type your code, and check out when you leave.
Choose how participants identify themselves
Participant code, registered email, registered phone number, or any of them: what each option means and when to use it.
Check in people without a smartphone
Let facilitators check people in at the door when they have no phone, with every door check-in recorded under the facilitator's name.
Record check-out and time spent
Have participants check out as they leave so reports show how long each person stayed, and check out people who forgot.
Require check-in at the venue (location check)
Ask phones for their location at check-in and flag or refuse check-ins made away from the venue.
Ask for a selfie at check-in
Put a small photo next to every name on the attendance sheet so your team can match faces. Photos self-destruct after 30 days.
Close a session and amend attendance
Lock the attendance sheet, re-open it for latecomers, and make recorded amendments with a reason.
Reports, certificates and integrity
Download attendance reports (PDF and Excel)
Get session and programme attendance reports on your letterhead, participant registers and Excel exports.
Issue certificates of attendance
Set the attendance requirement, customise the wording and signatures, and send verifiable certificates to everyone who qualifies.
Add your letterhead and logo to reports
Put your logo, address, contact details and signature lines on every PDF report, register and certificate.
Review integrity flags
Find invented or duplicate participants: shared phones, one phone checking in many people, staff devices, location problems and suspicious registrations.
Feedback, quizzes and email
Collect feedback and run surveys
Ask participants to rate a session on their phone right after check-in or check-out, or send a survey by email. No account needed, and surveys can be anonymous.
Run a quiz or a pre-test and post-test
Scored multiple-choice quizzes with a pass mark, a before-and-after comparison of what people learned, and an optional quiz requirement for certificates.
Email your participants
Send reminders, follow-ups and forms to everyone registered, people who checked in, people who missed out, a group or certificate holders. Replies come to you.
Team and billing
Invite your team and choose roles
Add administrators, programme managers, facilitators and read-only viewers, and limit them to specific events.
Choose a plan, use a discount code, switch or cancel
Subscribe monthly or yearly, apply a discount code, upgrade, downgrade or switch billing, download invoices and cancel from the Plan and billing page.
