How to Track Training Attendance and Time Spent in Each Session
For multi-day training, who attended is only half the question. Here is how to track attendance and time spent across every session.
For a one-off meeting, a list of names is enough. For training, especially accredited, client-billed or mandatory training, you usually need more: which sessions each person attended, how long they stayed, and whether they met the requirement for a certificate. Here is how to set that up without adding work for facilitators.
Structure: one event, many sessions
Create one event for the whole programme and register participants once. Then create a session for each day, module or half-day. Each session gets its own attendance sheet, and the programme report puts every participant against every session. If groups attend different sessions, assign participants to groups and limit sessions to a group. Training attendance tracking.
Check-in and check-out
Turn on check-out for sessions where time matters. Participants scan the same code when they arrive and again when they leave. The phone that checked them in shows a check-out button, so leaving takes a second. The report then shows arrival, departure and time spent for each person.
Some people will forget to check out. Decide how to handle that before the training starts:
- A facilitator can check everyone still in the room out at the end with one click.
- An administrator can record a check-out time afterwards, with a reason, for example when a phone died.
- Anyone without a check-out simply has no time recorded for that session, rather than a guessed one.
Check-in windows
Set a check-in window, such as 15 minutes before to 30 minutes after the start, so late arrivals are visible. With check-out turned on, check-out stays available after check-in closes until the session ends.
Minimum attendance and hours
Many programmes require a minimum, such as 75% of sessions or 12 hours of attendance. Set this on the event and the report shows who qualifies. Certificates can then be issued automatically to those people only. How to issue verifiable certificates of attendance.
Keep the record honest
Time-based requirements create an incentive to check in and leave, or to have someone check in for you. A code that changes every few seconds, one phone per person and an optional location check close most of those gaps. Preventing proxy attendance.
Groups, cohorts and parallel sessions
When participants are split into groups that attend different sessions, assign each participant to a group and limit each session to its group. Attendance rates are then calculated against the sessions each person was expected to attend, not every session in the programme, so nobody looks absent from a session they were never meant to join.
Late arrivals and early leavers
Check-in times show who arrived late; check-out times show who left early. Decide in advance whether you count a person who attended half a session as present, and whether certificates depend on sessions attended or hours. Time-based rules are fairer when sessions vary in length.
Facilitators and trainers
Give each trainer access only to the events they run. They can open and close sessions, see who has checked in and help people at the door, but cannot change the record after the session closes. Administrators handle corrections, each with a written reason.
Reporting
At the end of the programme, download the programme report: attendance rate per person, sessions attended, total time and who qualified for a certificate, on your letterhead. What to include in a training attendance report.
Frequently asked questions
How do I calculate the attendance rate for a training?
Divide the number of sessions a participant attended by the number of sessions they were expected to attend, then multiply by 100. For the whole programme, average the rates or divide total attendances by total expected attendances.
What if a participant’s phone dies before check-out?
An administrator can record the check-out time afterwards with a reason, or a facilitator can check everyone out at the end of the session.
